Consultative Services
Departments can request a meeting with the University travel program to review all travel needs for the semester or year ahead and learn how the program can best support all their travel needs. The travel programs exists to take the burden off administrators and departments by designing and implementing a plan that helps each department or program achieve their goals.

- Pre-planning guidance, program design, logistics planning, and best practice recommendations
- Budget development and payment planning
- Development of travel support models that assure a seamless process for guest groups booking their own reservations
Group Travel Booking & Management
World Travel provides booking services for air, hotel, car, and ground transportation reservations. World Travel also provides 24/7 agency support for all groups booked through the travel program including:
- Outbound groups such as course travel, internships, study abroad, seminars, or any other group traveling domestically or abroad
- Inbound groups to the University including prospective students, conference attendees, and other invited guests traveling to the University
- Groups of guests coming to the University who are booking their own reservations
- University-sponsored conferences outside of Princeton

Group Air
Group Air contracts are highly beneficial to the University for outgoing travel such as course travel, internships, and other programs abroad. Among other benefits, Group Air contracts do not require the names of participants in order to book, which allows us to hold space before trip participants are determined. Groups of 10 or more traveling to the same destination qualify for a group air, which offers the following advantages:
- The ability to hold airline seats without travelers’ names
- The ability to drop a number of seats without penalty
- Waiver of group deposits (for certain airlines)
- Name changes on unused tickets
- Waived or reduced name change fees and utilization penalties
- Pricing negotiation or fare matching on group air tickets
Meetings & Events
From sourcing, budgeting, and venue selection through contract management, the Princeton University Travel Program provides support for any type
of off-campus meeting or event. We offer a broad range of meeting and event services including:
- Meeting and event sourcing and site selection services offering comprehensive presentations of hotel and event options, and summary of bids submitted
- Rate and amenity negotiation
- Contract review to ensure program value and reduce financial and legal exposure
- Supplier communications management
- Procurement of travel support abroad – from a vast network of domestic and international suppliers including destination management companies (DMCs), in-country tour operators, “fixers,” ground transportation, guides, and other specialty travel suppliers
