A message to Princeton Faculty from David Lee (Provost), Carolyn Ainslie (VP for Finance and Treasurer), and David Dobkin (Dean of the Faculty):
Dear Faculty Colleagues,
We will be launching Princeton Prime, a series of enhancements to our financial systems in July. This will involve numerous changes with the hope of bringing our systems up to date (see prime.princeton.edu for details).
While these changes will be disruptive, they are necessary and will lead to a better environment in the future. For example, managers will be able to answer basic financial management questions, a broader array of basic financial transactions will be able to be supported and we will have a system that can grow with the demands of the future. In short, this upgrade is necessary for us to move forward.
The experience of peer institutions that have undergone similar projects recently is that, even with extensive testing and training, it will take a full year to stabilize and become fully facile with the new systems and reports.
What does this mean for your department managers and you?
Financial Reports: During the months of July and August 2014, the new financial reports will be gradually introduced and some transactions may take longer than normal to process. During these two months, the same reports that are available today can be run for all activity through June 2014. As we begin transacting in the new systems in July, we will introduce new reports to track this activity. By the end of August, the complete picture of your financial activity will appear on the new reports with the new accounting codes.
Travel and Expense: While we encourage you to begin using Concur, the new online travel booking and expense tool, as soon as possible, for a period of time you may continue to arrange travel and request reimbursement for expenses as you have in the past. However, if you are booking travel through a travel agency, please contact our new agency, Carlson Wagonlit Travel. Training: During June and July, your department manager and financial staff will participate in training to prepare for these changes. For some managers, this could entail a few days of training over the two- month period. We appreciate your support of their participation in these classes. In addition, we will offer drop-in labs, and phone and email support to help financial staff transition to Prime.
